AECOM is seeking a receptionist at our Whitecourt- Alberta location.
Welcome clients and visitors into the office. Meet- greet- and direct visitors to the appropriate office. Ensure all guests have signed in and out of the office.
Answer and direct incoming calls accordingly.
Perform other clerical duties as assigned- such as filing- photocopying- faxing- collating- opening and sorting mail.
Conduct office orientations- if required.
Assist with purchase order requisitions and Account Receivable/Payable duties.
Update and maintain the office contact and distribution list for the office.
Update and maintain the office layout and emergency office map; distribute/post as required.
Assist the Office Manager by preparing and distributing general correspondence and memos regarding building security and maintenance as required.
Date stamp and sort incoming mail and faxes according to addressee(s) and deliver daily.
Redirect any mail incorrectly addressed.
Prepare outgoing mail and courier packages for daily pick up.
Order office supplies as needed and as requested.
Assist Office Manager with any new hire set up.
Accomplishes administrative functions with the use of Word- Excel- Outlook- office forms- office equipment and basic office procedures.
Provide back up support to other administrative assistants as required.
Communicate office maintenance requirements and concerns to the office manager.
Direct any Human Resources and Labour Relations questions to the applicable personnel.
Maintains departmental electronic filing system.

This may consist of all or a combination of the following: Canadian Criminal Record check- an Employment Verification and/or an Education and Accreditation Verification.
Qualified applicants who are offered- and accept- a position must provide evidence of a satisfactory Alcohol & Drug test in accordance with the Company|s Alcohol & Drug Policy. In order to be valid- the test must have been conducted at the direction of AECOM – O&G Business Unit.
High school diploma.
Demonstrated computer proficiency- especially with Microsoft Office applications.
Exceptional interpersonal and written and verbal communication skills.
Experience with reception and multi line phone systems.
Excellent time management skills.
Self-motivated- with proven organizational skills.
Post-secondary Diploma or certificate from an accredited Business Administration technical school or college would be an asset.
1 – 2 years relevant work experience is preferred.
Intermediate Excel skills
